Summary

Trade shows introduce unique security risks from travel, storage and high foot traffic, requiring planning before, during and after the event.

  • Plan travel and shipping carefully, using armored transport and secure storage when possible.
  • Never leave your booth unattended and display only one item at a time.
  • Complete a final inventory count and ship sold items directly to customers after the show.

Trade shows are essential for growing relationships and showcasing your brand, but they also introduce elevated security risks. High-value inventory, travel and crowded venues require thoughtful planning and constant awareness. With the right preparation, you can reduce business risk and stay focused on making the most of the event.

Before the show

A secure trade show experience begins long before you arrive on the show floor. Early planning is one of the most effective ways to prevent losses.

Travel planning

  • Share travel itineraries only with trusted employees or partners who need the information.
  • Use social media to strategically promote your brand, but refrain from posting real-time travel details, hotel locations or merchandise specifics.
  • Confirm whether your hotel offers secure vault storage and understand their access controls and limitations.

Coverage & security awareness

  • Review your insurance coverage to confirm it includes transit, on-site display, storage and post-show transport.
  • Stay informed about emerging threats by subscribing to industry alerts and bulletins from organizations such as the Jewelers' Security Alliance (JSA).

Secure shipping & transport

  • Use armored transportation whenever possible and always declare the full value of your merchandise.
  • If carrying inventory personally, consider engaging a licensed security professional to mitigate exposure during travel.
  • Consider specialized jewelry shipping tools, such as JM® Shipping Solution, which offer shipment monitoring, risk-based routing guidance and dedicated support to help reduce transit-related theft and loss.

Staff preparedness

  • Train all attending staff on trade show-specific security protocols and expectations.
  • Reinforce situational awareness, proper handling of merchandise and procedures for reporting suspicious activity.

During the show

Once the event begins, vigilance is critical. Trade shows combine high-value goods with heavy foot traffic, making them attractive targets for theft.

Booth security

  • Never leave the booth unattended, as doing so may jeopardize your insurance coverage.
  • Assign at least two staff members during setup, teardown and show hours to reduce distraction and vulnerability.
  • Display one item at a time and keep remaining inventory secured in locked cases or safes.

Inventory management

  • Conduct and document inventory checks upon arrival, multiple times throughout the day and before closing.
  • Address missing or suspicious activity immediately, as early reporting improves outcomes.
  • Use secure payment methods and verify customer identities for all transactions.

End-of-day security

  • Perform a final inventory reconciliation before leaving the booth each day.
  • Use armored services to transport unsold merchandise off-site when possible.
  • Remove exhibitor badges before exiting the venue and request security escorts if transporting valuables.

After the show

Security doesn't end when the show closes. The post-event period is a common time for losses to occur if controls are relaxed too soon.

Packing & shipping

  • Complete a final inventory count before packing and shipping.
  • Transport remaining merchandise using armored services whenever feasible.
  • Ship sold items directly to customers rather than carrying them post-show.
  • Avoid branded cases or bags that draw attention during travel.

Approach trade show season with confidence

With proactive planning and consistent security practices, you can focus on building connections and showcasing your merchandise without unnecessary risk.
